Why this policy exists

This policy sets out how the Church Housing Foundation (CHF) collects, stores, processes and protects personal information.

Information we collect

CHF collects information through interactions with individuals and organisations. Most of this information will be provided directly by you. This information will usually be personal identifiers, contacts and characteristics (for example, name and contact details), correspondence with you, volunteering, participation in events and online discussions.

Some data may also be collected as a result of your interactions with websites, channels and social media. In particular, this may include use of analytics services and tracking cookies, and where you interact with social media pages and accounts associated with CHF. These accounts will always be explicitly identified as associated with CHF.

How we use personal information

CHF uses information to provide services and information largely in the context of housing and communities, and church activities. In particular, this includes:

  • To develop and provide information and resources on housing, communities and the church

  • To improve and develop our systems, content and resources

  • To manage and enhance community interactions (including online discussions and events of all kinds)

  • To recruit, train and manage volunteers

  • To communicate with you about matters relevant to housing, communities and the church

  • To operate the organisation, which includes analysing performance and meeting legal obligations.

Sharing personal information

CHF does not in general share your information with third parties for their own use unless we have your explicit permission to do so. We may share information where we are undertaking joint activities that you involved in (for example, you have agreed to attend an event we are jointly running with another organistion), but only for the purposes of delivering those activities.

CHF engages third parties to run services on its behalf. Your information will be shared with those third parties to the extent necessary to run those services, but they may not use the information for other purposes, and the processing must be in accordance with relevant privacy laws.

CHF will also share information where it is legally required to do so, for example to law enforcement.

Lawful basis

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

  • Your consent. You are able to remove your consent at any time. You can do this by contacting us as outlined below

  • We have a contractual obligation.

  • We have a legal obligation.

  • We have a vital interest.

  • We need it to perform a public task.

  • We have a legitimate interest.

Almost all of our processing is on the basis of

  • Your explicit consent (that you can remove at any time)

  • Contractual and legal obligations

  • Our legitimate interest in operating our organisation’s systems as outlined in this notice

How we store your information

CHF is committed to keeping your information secure. CHF makes use of ‘cloud’ services that provide appropriate protections. The bulk of information storage is with the UK or EU. In rare cases we may store information outside the UK/EU but only where it is necessary, and appropriate protections are in place.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.

  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.Please contact us as below if you wish to make a request.
